We’re seeking a Senior Executive & Legal Administrative Coordinator to support our CEO/President, executive leadership, and Board of Directors. This is more than an administrative roll, it’s a high-trust, high-impact position that combines executive support, legal coordination, board relations, and project execution. What You’ll Be Doing

You’ll wear many hats and wear them well. Your work will touch executive operations, legal documentation, board relations, travel planning, calendar management, project support, and high-level communications. You’ll partner with the CEO/President, CFO, Executive Vice President, Marketing and Sales VPs, Agency Sales Directors, and other senior staff to make sure every meeting, project, and policy is executed with professionalism and excellence.

Key Responsibilities

🧭 Executive & Project Support

  • Manage priority projects and strategic initiatives for the CEO/President, ensuring alignment with organizational goals.
  • Support the Executive and Sales team with budget tracking and monthly reporting for Sales Directors.
  • Organize and attend leadership meetings, take notes, and track action items to completion.
  • Handle all logistics for meetings, travel, events, and off-site functions for senior leadership.
  • Maintain and organize departmental spreadsheets, records, calendars, and correspondence.

📑 Legal & Administrative Coordination

  • Provide administrative and basic legal support across regulatory filings, corporate contract matters, and internal policy updates.
  • Assist with the maintenance of company stock programs and legal documentation.
  • Understand and support contract processes and business legal language; paralegal experience preferred.
  • Maintain confidentiality and handle sensitive matters with professionalism and discretion.

🏛 Board of Directors Liaison

  • Serve as the key contact between the CEO/President and Board members.
  • Coordinate board meetings and events: prepare agendas, distribute materials via online board portals, and document minutes.
  • Maintain records of board actions, ensuring legal and organizational compliance.
  • Build and maintain strong, service-oriented relationships with Board members.

✈️ Administrative Operations

  • Manage complex calendars and travel itineraries for the CEO/President and executive team.
  • Process expense reports, incoming documents, and company-wide communications.
  • Provide reception and hospitality for VIPs, visitors, and high-level meetings.
  • Assist with Representative database updates, Red Book coordination, and Sales Agency records.
  • Coordinate event logistics for sales meetings, training programs, the Representative Advisory Board (RAB), and annual functions.

Qualifications

What You Bring to the Table

You’re not just highly organized, you’re strategic, communicative, and dependable. You understand the nuances of executive-level discretion and thrive in a fast-paced environment where priorities change quickly and confidentiality is key.

Skills & Experience

  • Paralegal experience and familiarity with corporate contract processes strongly preferred.
  • Strong knowledge of Microsoft Office (Word, Excel, PowerPoint, SharePoint).
  • Experience supporting C-suite executives and/or Boards of Directors.
  • Excellent communication skills, both written and verbal.
  • Ability to maintain strict confidentiality and exercise sound judgment.
  • Experience with event planning, project coordination, and interdepartmental collaboration.
  • Comfort working with external vendors, sales teams, and senior stakeholders.

🎓 Education & Training

  • Bachelor’s degree required; equivalent work experience will be considered.
  • Background in legal administration, project management, or executive support is desirable.
